When a member is imported into Showing Scene, they have to be allocated a live membership, as a result, members should only be imported once payment has been received. A bulk import is useful, for example, when a number of direct debit payments have been received.
To bulk import your members, you will need to have created your membership options.
To bulk import memberships:
1. Go to your 'Memberships' section. Click 'Bulk Upload Postal'
2. Click 'Download Template'. This will provide you with a spreadsheet template into which you can transfer your members into. As you upload a group of members, you'll allocate a membership to them (e.g. single membership) as well as a payment method, so it is worth separating each membership and payment type into different spreadsheets. Do not change any of the column names or ordering or this will prevent the file being uploaded.
3. Once you have completed your spreadsheet template and it is ready for upload, select 'Choose file' and select the spreadsheet for import.
4. Under 'Membership' select the membership type to be allocated to the members in the spreadsheet, along with a 'Payment Method'.
5. If you wish to invite those members to create an account on Showing Scene, select 'Yes'. If an email address has been included against the contact, they will receive an invitation to register on Showing Scene.
Generally, it is worth sending an email out explaining to members that you are using Showing Scene and that they should expect an email invitation from your organisation. You can also explain any benefits they will receive from your organisation registering, e.g. ability to get discounts upon their exhibitor entries or to be able to purchase membership extras such as lunch vouchers or catalogue vouchers.
6. Check all your fields have been completed correctly and click 'Upload File' to begin the import.
